These Terms of Service ("Terms") govern your access to and use of CrewBooked.ai, including our website at crewbooked.ai, our AI-powered lead capture, call answering, and follow-up services, and any related software, integrations, or documentation (together, the "Service").
By accessing the Service, completing our qualification form, or signing a CrewBooked service agreement, you agree to be bound by these Terms. If you do not agree, do not use the Service. If you are using the Service on behalf of a company, you represent that you have authority to bind that company to these Terms.
01Description of Service
CrewBooked provides dedicated call and messaging staff for home services businesses, primarily HVAC contractors. The Service is delivered through three named agents:
- Riley answers inbound calls 24 hours a day, qualifies leads, captures the issue and address, books appointments on your calendar, and offers maintenance plans, filter replacements, and other upsells on every call.
- Scout sends an automated SMS reply within 15 seconds of any missed call to recapture the lead before they call your competitor.
- Chase sends personalized SMS follow-ups on days 1, 3, and 7 after a quote until the job is booked or the lead declines.
Setup and onboarding
Before the Service goes live for your business, CrewBooked completes a discovery and configuration process across six layers of your business: Business Identity and Brand Voice, Services and Pricing Knowledge Base, Custom FAQ Library, Calendar and Booking Logic, No-Show and Follow-Up Automation, and Escalation and Human Handoff Rules. Typical setup time is 48 hours after a complete intake.
Integrations
CrewBooked works alongside scheduling and CRM software you already use, including Jobber, Housecall Pro, and similar field service platforms. We connect to these systems only with your authorization, and only to read and write the data needed to book and confirm appointments.
Service availability
We target 99.9% monthly availability for call answering and SMS routing. Planned maintenance, force majeure events, and outages of third-party providers (including telephony carriers and voice and messaging service providers) are excluded from this target. CrewBooked will use reasonable efforts to notify you in advance of planned maintenance.
Changes to the Service
We may update, add, or remove features at our discretion. Material reductions in functionality that affect your active subscription will be communicated in advance.
02Payment Terms
Pricing
CrewBooked is offered on a monthly subscription. Pricing is set in your service agreement at the time you sign up. Fees are quoted in U.S. dollars and exclude applicable taxes, which are your responsibility.
Billing cycle
- Subscriptions bill in advance on the same calendar day each month, beginning the day the Service goes live.
- Payments are processed by Stripe. By providing payment information, you authorize CrewBooked to charge the payment method you provide on file for all subscription fees, applicable usage charges, and taxes.
- Usage charges, if applicable, are billed in arrears in the following month. Examples include overage charges for call volume exceeding your plan, SMS volume above included allowances, or premium add-on agents.
Setup fees
Some plans include a one-time setup and onboarding fee. The setup fee is billed at signing and is fully refundable for 30 days if CrewBooked has not yet provisioned phone numbers or configured Riley, Scout, or Chase for your business.
Late payment
If a charge fails, we will retry the payment method on file and notify you. Accounts more than 14 days past due may be suspended. Accounts more than 30 days past due may be terminated. Reactivation requires payment of any past-due balance plus a reactivation fee.
Price changes
We may change subscription pricing at any time. Price changes for existing subscribers take effect at your next renewal and require at least 30 days advance notice by email.
Refunds
Subscription fees are non-refundable except as expressly stated in these Terms or required by law. Setup fees follow the rule above.
03Revenue Leak Report: One-Time Purchase
The Revenue Leak Report is a one-time digital product priced at $47. Payment is processed through Stripe at the time of purchase. The report is personalized based on the information you provide and delivered to your email address within minutes of payment confirmation. All sales are final. No refunds are issued for digital report purchases. CrewBooked reserves the right to use the information submitted with your report request to follow up regarding our core services. By purchasing the Revenue Leak Report you confirm that the business information you provide is accurate to the best of your knowledge.
04Cancellation Policy
CrewBooked does not require a long-term contract. You may cancel your subscription at any time and you will continue to have access through the end of your current billing period.
How to cancel
Email hello@crewbooked.ai with the subject line "Cancel" and the business name on your account. We will confirm cancellation within one business day.
What happens after cancellation
- Riley, Scout, and Chase will continue to operate for your business through the end of the current billing period.
- At the end of the billing period, CrewBooked will release any phone numbers we provisioned for you unless you have ported them to another provider.
- You may request a copy of your call recordings, transcripts, and conversation history within 30 days of cancellation by emailing us.
- After 30 days, your records are retained or deleted according to our Privacy Policy retention schedule.
Termination by CrewBooked
We may suspend or terminate your account for material breach of these Terms, including violations of the Acceptable Use or SMS Terms sections, non-payment, or fraudulent activity. If we terminate for a reason other than your breach, we will refund any prepaid fees covering the period after termination.
05Limitation of Liability
Disclaimer
The Service is provided "as is" and "as available." CrewBooked does not guarantee that the Service will be uninterrupted, error-free, or that every call or text will be answered or delivered successfully. AI agents may make mistakes. We work continuously to improve them but cannot guarantee perfect performance.
To the maximum extent permitted by law, CrewBooked disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, title, and non-infringement.
Limitation of liability
To the maximum extent permitted by law, CrewBooked, its officers, employees, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, loss of revenue, loss of data, or loss of business opportunities, arising out of or related to your use of the Service.
CrewBooked's total aggregate liability for any claim arising out of or related to these Terms or the Service is limited to the greater of (a) the total amount you paid CrewBooked in the twelve months immediately preceding the event giving rise to the claim, or (b) one hundred U.S. dollars ($100).
Indemnification
You agree to indemnify and hold CrewBooked harmless from any claim, demand, loss, or damage arising out of your use of the Service in violation of these Terms or any applicable law, including any content you provide to be used by Riley, Scout, or Chase, and any communications sent to your customers through the Service.
Customer responsibility
You are responsible for the accuracy of the services, pricing, and other business information you provide for use by the Service. CrewBooked is not responsible for missed appointments, incorrect quotes, or other business outcomes that result from information you provide to us.
06Acceptable Use
You agree not to use the Service to do any of the following:
- Violate any applicable law or regulation, including the Telephone Consumer Protection Act (TCPA), the CAN-SPAM Act, state telemarketing laws, or carrier policies on A2P 10DLC messaging.
- Send unsolicited marketing or sales messages to recipients who have not provided express consent to receive them.
- Impersonate any person or organization, or misrepresent your business identity.
- Use the Service to deliver content that is unlawful, threatening, defamatory, obscene, or otherwise objectionable.
- Use the Service to facilitate or promote any of the prohibited content categories defined under the CTIA Messaging Principles and Best Practices, including high-risk financial services, cannabis, illegal substances, firearms, hate speech, or content harmful to minors.
- Attempt to reverse engineer, decompile, or extract the underlying models, prompts, or proprietary configurations of Riley, Scout, or Chase.
- Resell, sublicense, or otherwise transfer the Service to a third party without our prior written consent.
- Use automated tools to overwhelm our infrastructure, scrape our site, or probe for vulnerabilities outside an authorized security disclosure program.
Violations of this section may result in immediate suspension or termination of your account, and may be reported to your phone or messaging carrier where required by carrier policy.
07SMS Terms
CrewBooked sends application-to-person (A2P) text messages on behalf of our customers and from our own brand. These SMS Terms describe how those messages are governed and the responsibilities of both parties under U.S. carrier requirements.
Consent
- Messages from CrewBooked to you. By providing your mobile phone number to CrewBooked through our qualification form, by texting our line, or by checking the SMS consent box at signup, you expressly consent to receive text messages from CrewBooked at the number you provided. Consent is not a condition of any purchase.
- Messages sent through CrewBooked on your behalf. If you are a CrewBooked customer using the Service to communicate with your own customers, you represent and warrant that you have obtained valid prior express consent from each recipient before any message is sent on your behalf, in a manner that complies with the TCPA, applicable state law, and CTIA Messaging Principles.
Message categories and frequency
- Conversational and customer service replies sent in response to inbound messages from a recipient.
- Transactional and account messages including booking confirmations, appointment reminders, dispatch notifications, and follow-up messages relating to an existing service relationship.
- Marketing messages sent only to recipients who have separately opted in to marketing. Marketing volume is limited and recipients can opt out at any time.
- Typical aggregate volume across all categories is fewer than ten messages per recipient per month, except for active service threads where higher volume is expected and welcomed.
Required keywords
- Reply STOP to opt out. We will send one confirmation message and no further messages will be sent unless you opt back in.
- Reply HELP for help, or contact us at hello@crewbooked.ai.
- Standard message and data rates may apply. CrewBooked does not charge a fee to receive messages.
- Carriers including AT&T, T-Mobile, Verizon, U.S. Cellular, and others are not liable for delayed or undelivered messages.
Mobile information sharing
CrewBooked does not sell, rent, or share mobile phone numbers or SMS opt-in data with third parties for marketing purposes. Phone numbers are shared with subprocessors solely to deliver the messages described above, in accordance with our Privacy Policy.
Customer responsibilities
- You must register a unique campaign through CrewBooked for A2P 10DLC compliance before sending messages through the Service.
- You must keep auditable records of consent for every recipient on file for at least four years.
- You must promptly honor STOP requests across every channel you operate.
- You must not use the Service to send messages in any of the SHAFT (sex, hate, alcohol, firearms, tobacco) categories or any other content category restricted by carriers.

Continued use of the Service after the effective date of the updated Terms constitutes acceptance. If you do not agree to the updated Terms, you may cancel your subscription as described in the Cancellation Policy.
